1. Getting Started

Welcome to Anudia Invoice Pro! This guide will help you navigate and use all features of our invoicing software.

1.1 Dashboard Overview

When you first access Anudia Invoice Pro, you'll see the main dashboard with:

  • Left Panel: List of all your saved invoices
  • Right Panel: Invoice creation form with all fields
  • Top Navigation: Access to pricing, currency selector, dark mode, and user account
  • Invoice Usage Bar: Shows how many free invoices you have remaining

2. Creating Invoices

2.1 Company Details

Click to edit your company information - The company name, slogan, address, email, phone, and TIN are all editable by clicking on them.

Tip: Upload your company logo by clicking on the camera icon or the logo placeholder.

Enter client details - Client name, email address, and shipping/billing address.

Note: The client email is required for sending invoices via email.

2.2 Adding Products/Services

Add items to your invoice - Each product includes:

  • Item name
  • Description (optional)
  • Quantity
  • Unit price

Click "Add Product" to add more items. Click the trash icon to remove an item.

2.3 Ghana Taxes

Select applicable taxes - Our system automatically includes Ghana tax rates:

  • VAT - Value Added Tax (12.5%)
  • NHIL - National Health Insurance Levy (2.5%)
  • GETFL - Ghana Education Trust Fund Levy (2.5%)
  • COVID-19 - COVID-19 Health Recovery Levy (1%)

You can also add custom taxes using the "Custom Tax" option.

3. Managing Invoices

3.1 Loading Invoices

Click on any invoice in the left panel to load it into the form for viewing or editing.

3.2 Editing Invoices

After loading an invoice, make your changes and click "Save Invoice". The system will update the existing invoice rather than creating a new one.

When editing an existing invoice, you won't be charged against your invoice limit.

3.3 Deleting Invoices

Click the red "Delete" button on any invoice in the left panel to permanently remove it. This action cannot be undone.

4. PDF Generation

Click the "PDF" button to generate a professional PDF invoice. The PDF includes:

  • Your company logo and details
  • Client information
  • All products with quantities and prices
  • Tax breakdown (VAT, NHIL, GETFL, COVID-19, etc.)
  • Subtotal and grand total
  • Terms and notes
PDFs are generated offline - no internet connection required!

5. Sending Emails

Click the "Send Email" button to email an invoice to your client:

  1. Enter the client's email address (pre-filled if you entered it in the Bill To section)
  2. Customize the subject line if needed
  3. Edit the message body (optional)
  4. Choose whether to attach the PDF invoice
  5. Click "Send Email"

Email sending requires an internet connection.

6. Recording Payments

To record a payment received from a client:

  1. Click the "Pay" button on any invoice in the left panel
  2. Enter the amount received
  3. Select payment method (Cash, Bank Transfer, Mobile Money, Cheque, Card)
  4. Add a reference number (optional)
  5. Select the payment date
  6. Add any notes (optional)
  7. Click "Record Payment & Generate Receipt"
A payment receipt will be automatically generated and can be printed or saved as PDF.

7. Product Library

Registered users can save products to their library for quick reuse:

  1. Fill in product details in the invoice form
  2. Click "Save Product" to add it to your library
  3. Use the dropdown menu "📦 Load saved product" to quickly add saved products to new invoices

Note: Product library is only available for registered users.

8. Offline Mode

Anudia Invoice Pro works even without internet connection!

  • Offline Indicator: A badge at the bottom-right shows your connection status (Green = Online, Red = Offline)
  • Create Offline: You can create and save invoices while offline
  • Auto-Sync: When you reconnect, offline invoices automatically sync to the cloud
  • Offline Queue: Changes are stored locally until sync completes
Don't clear your browser data while offline - unsynced invoices will be lost!

9. Drafts & Local Storage

Your form data is automatically saved as you type (after 3 seconds of inactivity) and can be loaded later:

  • Auto-Save: Form data saves automatically to your browser's local storage
  • Load from Storage: Click this button to restore your last saved draft
  • Saved Drafts: View and manage all your saved drafts
  • Export/Import Drafts: Backup your drafts as JSON files or import them
  • Clear Form: Reset all form fields

11. Dark Mode

Toggle dark mode by clicking the moon/sun icon in the top navigation bar. This setting is saved in your browser and persists across sessions.

Q: Do I need an account to use Anudia Invoice Pro?

A: No! You can create invoices as a guest. However, registering allows you to save products, access invoices across devices, and subscribe to paid plans.

Q: What happens when I reach my free invoice limit?

A: You will be prompted to upgrade to a paid plan. Your existing invoices remain accessible.

Q: Are my invoices secure?

A: Yes! We use SSL encryption and industry-standard security practices to protect your data.

Q: Can I use Anudia Invoice Pro on my phone?

A: Absolutely! The app is fully responsive and works on all devices. You can also install it as a PWA on your home screen.

Q: What currencies are supported?

A: GHS (Ghana Cedis), USD (US Dollars), EUR (Euros), and GBP (British Pounds).
